Venue Selection
Picking your venue can be daunting. First, what’s in inventory on your date? Which venue meets your needs/vision? What are the financial implications of each space (beyond the venue fee)? Let us do the research and break it down in an easy to digest worksheet. From here, a site tour may be in order. Field trip!
Vendor Sourcing
ZEC will happily speak with you about your day-of vision as it pertains to food/beverage, entertainment, rentals, tablescape, floral, and more! From here, we’ll draft a Request for Proposal (a detailed all-call) to our vendor network, and report our findings.
Document Creation + Management
ZEC has tried and true templates and guidelines to not only plan your event, but effectively communicate that plan to you the client, as well as your vendors. We own and manage these documents, and take great pride in the efficiencies they bring to the table.
Contract Management
Along with each vendor, comes a contract. Venue, hotel, entertainment, transportation… the list goes on. We’re experienced in what needs to be on those documents, what doesn’t, and ways in which to capitalize on your partnership with those organizations.
Accommodations + Transportation
Where are your guests staying? Where are they eating? Where are YOU eating and staying? What special events/activities do you have planned on and around your wedding date, and how is everyone getting from point A, to point B? Managing guest sleeping rooms, guest gifts/amenities, and transportation/shuttles is one of those tasks that grow and grow. Let us take the reigns!
Venue + Vendor Management
Once ZEC is launched on your event, we become the “middle man” between you and every vendor, including the venue. One set of ears to hear and be responsible for your vision, one voice to communicate that unto our event partners. It’s a big job, but it sure does feel good to say, “I don’t know, call my planner…” doesn’t it?
Design + Flow
Any opportunity to hear and contribute toward a client’s event design is one ZEC does not take lightly. Your event design is a direct reflection of you. How it executes and operates onsite is a direct reflection of us. We take great pride in creating a styled, polished, and personalized environment for you and your guests. The term “flow” means how your guests move and operate within that environment, which is equally important. We’d love to hear your ideas, so let’s talk about it!
Onsite Execution
The cherry on top! Depending on the size and scope of your project, ZEC will staff your event so both the client, and ZEC are set up for success. From rehearsal to onsite, setup to tear down… we’ll make sure all pieces of your plan execute seamlessly.
